Setting Up a Client or Contact as a Payer

Learn how to set up clients, contacts, and organizations as payers and enter their billing and payment information.

Before you can connect a client or contact to a policy as a payer, you must first set them up as a payer on their profile. If they haven’t been enabled as a payer, they won’t appear in the payer list when you create the policy.

Make the client a payer (self-pay):

  1. Open the client’s profile.

  2. Scroll down to find Self Pay Information.

  3. Click Make Payer.

  4. Enter the client’s billing and payment details:

    • Invoicing Frequency

    • Days Until Due

    • Invoicing Method:

    • Email-

    • Payment Method: Credit Card, ACH, Paper Check, or Wire Transfer

    • Add-on Reimbursements:

  5. If you collect payments through Careswitch, add and verify the client’s card or bank account. The payment method should show as Verified.

  6. Click Make Payer.

Make a contact or organization a payer (family member, responsible party, LTC / Guide):

  1. Open the person or organization under Contacts.

    1. If they don’t exist yet, create them by selecting Create → Individual for a person or Create → Organization for an organization, such as an LTC/Guide payer.

  2. On their profile, scroll down to find Private Payer Information.

  3. Click Make Payer.

  4. Enter their billing and payment details.

    • Invoice Frequency:

    • Days Until Due:

    • Invoicing Method:

    • Email:

    • Payment Method:

    • Add-on Reimbursement:

  5. Click Make Payer. They will now appear in the payer list when creating a policy.
