Managing Client Connections & Guest Access

Client connections including excluded caregivers and giving outside people access to client information

Connections let you link a client to other people in Careswitch, such as caregivers, family members, or other clients. These relationships can help your team understand how people are connected and can influence caregiver matching and scheduling.

Guest Access lets you give a family member or another outside person access to information about a client through the Careswitch portal.

Note: What you can see and manage depends on your role's permissions. If you don't see an option described in this article, you may not have the required permission.

Managing client connections

You can connect a client to an Employee, Contact, Client, or Payer.

To view a client's connections:

  1. Open the client's profile.

  2. Select the Connections tab.

The list shows the people and organizations connected to the client.

Add a connection

  1. Open the client's Connections tab.

  2. Click the Add Connection dropdown.

  3. Select the type of connection you want to add.

  4. Select the person or organization.

  5. If applicable, choose a connection role.

  6. Optional: Add any notes about the connection

  7. Optional: Add the connection in the opposite direction.

    Note: Adding a connection from either side will create the connection on both profiles. However, the Connected As field may only appear on the side where the connection was originally added. If the connection is added in only one direction, the other profile will show the connection but may not display a Connected As value.

  8. Save the connection.

Set a caregiver connection role

When connecting an Employee to a client, you can assign a caregiver relationship such as:

Preferred · Backup · Excluded

These roles can be used by Careswitch when matching and scheduling caregivers.

For example, marking a caregiver as Preferred indicates that they are a preferred caregiver for that client, while Excluded indicates that the caregiver should not be matched with that client.

Filter client connections

If a client has several connections, use the menus at the top of the Connections tab to narrow the list.

  • Display — Filter connections by type, such as Clients, Employees, Contacts, or Payer.

  • Filter — Narrow connections by their connection role.

Guest Access

Guest Access allows a family member or another outside person to access information about a client through the Careswitch portal.

Guest access is different from a Contact connection. A connection identifies how someone is related to a client, while Guest Access determines whether that person can actually access the client's information through the portal.

Grant guest access

  1. Open the client's Profile tab.

  2. Scroll down to find the Access Management section.

  3. Click Grant Access.

  4. Optional: Add an invitation message

  5. Click Grant Guest Access

Once access is granted, the Guest Access card will show an Active status.

Depending on the access you've configured, the guest can access areas such as:

Dashboard · Connections · Schedule · Invoices · Chat

Note: The information available to a guest is controlled by the Guest role and the access settings you configure.

Revoke guest access

If someone should no longer have access to a client's information:

  1. Open the client's Profile tab.

  2. Scroll down to Access Management.

  3. Click Revoke Access.

  4. Confirm that you want to remove access.

The Guest Access card will change to Inactive.

Frequently asked questions

What's the difference between a connection and guest access?

A connection identifies a relationship between a client and another person or organization in Careswitch.

Guest Access gives an outside person permission to access the client's information through the portal.

For example, you might connect a client's daughter as a Contact and then grant her Guest Access so she can view the information you've made available to her.

Can I connect a caregiver to a client?

Yes. Add the caregiver as an Employee connection and, if appropriate, assign a caregiver role such as Preferred, Backup, or Excluded.

These relationships can influence caregiver matching and scheduling.

Can I connect a family member to a client?

Yes. Add the family member as a Contact connection. If they also need to access the client's information through the portal, you can grant them Guest Access.

Can I give a guest access without creating a connection?

This article's source material does not specify whether a Contact connection is required before granting Guest Access. If your workflow requires one, this would be a good place to add that requirement.

What can a guest see?

Guest access can provide access to the client's dashboard, connections, schedule, invoices, and chat. The specific information available depends on the guest's permissions.

Why don't I see the Connections tab or Guest Access options?

Access to client information and actions is controlled by your role's permissions. If you don't see these options, contact a workspace admin.
