Archiving a client removes them from your active client list without permanently deleting their profile. This is useful when a client is no longer receiving care but you want to keep their history and information in Careswitch.
When you archive a client:
In-progress services have their end date set to the current date, but keep their existing stage.
Future shifts in Unassigned, Offer Pending, Scheduled, or Canceled status are deleted.
Approved and Paid shifts are kept.
The client is hidden from the default Active client list.
Before You Start
To archive a client, you need permission to manage the client's Profile, Services, and Schedule.
Make sure you understand how archiving affects the client's services and future shifts before continuing.
Archive a Client
Navigate to Clients.
Open the client you want to archive.
Click the More dropdown.
Select Archive.
Review the confirmation message and confirm that you want to archive the client.
What happens when you archive a client?
Archiving a client affects their active services and future shifts:
In-progress services are ended.
Future unassigned, offer-pending, scheduled, and canceled shifts are deleted.
Approved and paid shifts are kept in the client's history.
The client is removed from your list of active clients.
Important: Future shifts that are deleted when a client is archived are not recreated if you later restore the client.
The client's profile and historical information remain available, so you can restore the client if they return to care.
Restore an Archived Client
If an archived client needs care again, you can restore their profile.
Navigate to People → Clients.
Find and open the archived client.
Click the More dropdown.
Select Restore.
Please Note: Restoring a client makes the client active again, but does not recreate future shifts that were deleted when the client was archived. You'll need to set up any necessary services and schedule new shifts.
