Getting a caregiver set up in Careswitch is two quick steps: you send them an invite, and they sign in with a one-time code. Here's the full flow, plus fixes for the snags that come up most.
Send the invite
In the sidebar under People, open Workforce (or Recruiting), open the caregiver, and click Send Invite (it shows Send Invite Again, with the date they were last invited, if you've invited them before). Confirm in the Send Invitation dialog.
Careswitch then emails and texts the caregiver a link to download the app and set up their account — so make sure their email and mobile number are correct on their profile first.
How caregivers log in
There's no password. The caregiver enters their email or mobile number, and Careswitch sends a 6-digit code to that email or number. They enter the code to finish signing in. This is the same whether they're on the mobile app or the web.
Codes expire after 30 minutes. If a code is old or doesn't work, have them resend from the login screen and use the newest one.
Can't log in? The email or number they enter has to match what's on their account. An admin can update the caregiver's Mobile Number on their profile (Workforce → open the caregiver → Profile → Edit). If updating the profile number doesn't fix it, the caregiver may need to change the number from their own account settings — or reach out via in-app chat.
Returning caregiver with two phone numbers? The Mobile Number is the one used for signing in — an Alternate Phone Number isn't.
Can't download the app?
Careswitch needs a reasonably recent phone OS:
iPhone: iOS 18 or newer — that's the iPhone XS, XS Max, and XR (2018) and any newer iPhone.
Android: Android 10 or newer — most phones released from 2019 onward.
On older devices the app won't install from the store — the fix is to update the phone's OS or switch to a newer device. In the meantime, the caregiver can still sign in on the web to view their schedule and clock in and out from a browser (see below).
Using Careswitch on the web
Caregivers don't have to use the mobile app — they can also sign in on the web, in any browser on a phone or computer, using the same email or mobile number + 6-digit code.
Once signed in, a caregiver lands in their own area with Schedule, Dashboard, Inbox, and Account. From Schedule they can open a shift and Clock In / Clock Out right in the browser — and it still captures their location for EVV (the browser will ask permission to share location).
The mobile app is still the easiest for day-to-day use — push reminders and smoother location capture — but the web is a dependable fallback when someone can't install or open the app.
Can't see open shifts / the job board
A caregiver only sees open shifts once they're active and in a shift-eligible stage — Onboarding, Active, or Departure — and they match the shift's posting criteria (role, status, tags). Someone still in a recruiting stage (prospect, application, evaluation, or offer), or marked inactive, won't see them.

What does the caregiver receive when I invite them?
An email and a text, each with a link to download the app and set up their account. If they didn't get it, re-send and double-check the email and mobile number on their profile.
How do I know if I've already invited someone?
On their profile the button reads Send Invite Again and shows the date they were last invited.
Can a caregiver sign in with just a phone number?
Yes. They can use either their email or their mobile number — whichever is on their account and can receive the 6-digit code.
The login code isn't working.

Can a caregiver clock in and out without the app?
Yes — they can sign in on the web and clock in/out from their Schedule (see "Using Careswitch on the web"). Handy when their phone can't run the app.
I don't see a "Send Invite" button.
Inviting caregivers takes permission to manage employees. If you can't invite someone, ask a workspace admin to send it or to update your access — see "Settings access: roles and permissions."
A caregiver still can't get in after all this.
Confirm they've been invited, their email/mobile number on file is correct, and (for the app) their phone meets the OS minimum above — or have them sign in on the web instead. If it still won't work, reach out via in-app chat and we'll dig in.
