Viewing a caregiver's task responses and care summary (for office staff)

Where office staff review a shift's care documentation — the caregiver's task list responses (Completed, Declined, Not Needed), care summary, and signatures — on the shift's Care tab, plus exporting care note PDFs.

Everything a caregiver documents on a visit — their responses to the care plan's task list, the care summary, and signatures — lives on the shift itself. Office staff review it on the shift's Care tab in the web app. This guide shows exactly where to find it.

Open the shift's Care tab

  1. In the left sidebar, under Operations, click Shifts.

  2. Find the shift on the Table or Calendar tab and click it to open it.

  3. At the bottom of the shift page, click the Care tab (it sits next to the Activity tab).

The Care tab stays grayed out until the shift has been clocked in to — it becomes available once the shift is in progress, and stays available after it's completed.

What the Care tab shows

  • Verification — the client and caregiver signatures, when they were captured.

  • Summary — the care summary the caregiver wrote for the visit.

  • Tasks — every task response the caregiver recorded, each with its status (Completed, Declined, or Not Needed), the time it was recorded, and any note the caregiver added.

Once the shift is completed, staff with manage permission can also correct the documentation here: click Edit next to the Summary, or use Add and each task record's menu to add, edit, or delete task responses.

Printing and exporting care documentation

  • One shift: on a completed shift, open the Export menu in the top action bar and choose Care Note (PDF). This export becomes available once the shift has been added to an invoice or claim.

  • A date range: on the Shifts page itself, open the Export menu and choose Care Notes (PDF) for a client-by-client report of task responses, task notes, and care summaries across the dates you're viewing. The same menu also offers a Spreadsheet (CSV) export of the shift list.

Frequently asked questions

Why is the Care tab grayed out?

The shift hasn't been clocked in to yet, so there's no care documentation to show. The tab becomes available once the shift is in progress.

The caregiver missed a task or wrote the wrong thing — can it be fixed?

Yes. Once the shift is completed, staff with manage permission can edit the care summary and add, edit, or delete task records right from the Care tab. Caregivers can also reopen a completed shift in their app to update their own documentation.

Where do caregivers enter this in the first place?

In the caregiver mobile app or web portal during the shift — see Using the Caregiver App for that side of the workflow.
