Before you begin
The Sales pipeline uses these settings:
Workspace Services lists the services your agency offers. You add services to a lead from the lead’s profile.
Statuses are optional labels that give more detail about a service’s progress within a stage.
Referral Sources lists where your leads come from. You can also choose whether a referral source is required.
Stages are built into the system, and you cannot rename them. You can customize the statuses within each stage.
Manage Workspace Services
Select Settings in the left navigation menu.
Select Workspace Services.
Review, add, or edit the services your agency offers.
You can only add active Workspace Services to a lead. If a service is missing when you try to add it, go to Settings > Workspace Services. Add the service, or open the archived service and select Restore.
Note: If a Workspace Service is archived, you cannot change the stage or status of any lead’s service that uses it. Restore the Workspace Service before making those changes.
Add a status
Go to Settings > Lifecycles.
Select Services.
Find the stage where you want to add a status.
Select Add Status.
Enter a Status Name.
Add a description and choose a color, if you want.
Select Save.
You can use the new status right away in the Sales filters and the stage and status menu.
Tip: New leads automatically receive the first status listed under Opportunity. If you add statuses to Opportunity, place the status you want new leads to start with at the top of the list.
Edit a status
Go to Settings > Lifecycles > Services.
Select the three-dot menu beside the status.
Select Edit.
Change the name, description, or color.
Select Save.
Delete a status
Go to Settings > Lifecycles > Services.
Select the three-dot menu beside the status.
Select Delete.
If the stage has other statuses, choose a Replacement Status. All services using the deleted status will move to the replacement status.
Select Delete to confirm.
If there are no other statuses in the stage, the deleted status is removed from all services that use it.
Statuses are optional. Users can still move a service to a stage even if that stage has no statuses.
Manage referral sources
Go to Settings > Referral Sources.
To create a new referral source, click Add Referral Source
To update or archive a custom referral source, select the three-dot menu next to it and choose Edit. Default referral sources cannot be edited.
Turn on Require a referral source if you want to make referral sources required.
When Require a referral source is on:
Users must enter a referral source when creating a lead.
A lead must have a referral source before it can become a client.
Fixed stages
These stage names are built into the system and cannot be changed:
Opportunity
Qualification
Development
Decision
Enrollment
Active
Transition
Paused
Archived
The first four stages track sales activity.
Enrollment, Active, Transition, and Paused track services in the client lifecycle.
Moving a lead’s service to any of these stages makes the lead a client.
Use Archived for services that are no longer being pursued.
