Workforce Profile Management How-To Guide

Settings Review: Roles

  1. Access Settings: Navigate to the Settings section within the platform.

  2. Locate Role Permissions: Find Role Permission Sets to manage the workforce profile sections accessible to each role.

  3. Customize Employee Access: Under Profile Permissions and then Employees, you can tailor access levels for every role.

    1. The available options are:

      1. Manage: Grants complete editing rights for the section.

      2. View: Permits viewing only, restricting any modifications.

      3. None: Entirely conceals the section from the specified role.

Settings Review: Lifecycles

  1. Go to Lifecycles and Professionals within Settings to establish custom statuses for managing your professional workforce.

  2. The recruiting section utilizes the stages of Prospect, Application, Evaluation, Offer, and Onboarding.

  3. The workforce statuses include Active, Paused, Departure, and Inactive.

    1. Custom Statuses: Within each status section, click the plus symbol to create custom status names, descriptions, and assign colors.

    2. Active: Profiles with this status can access the workspace and are eligible for shift assignments.

    3. Paused: Profiles with this status have workspace access but are ineligible for shift assignments.

    4. Departure: Profiles retain workspace access and remain eligible for shift assignments.

    5. Inactive: Profiles lose workspace access and are not eligible for shift assignments.

Settings Review: Profile Tags

  1. Remain in the Settings section and navigate to Profile Tags to customize them per your organizational needs.

  2. Click plus to create custom tag names and descriptions. Enhance them with distinct colors for easy identification and filtering in the workforce table.

    1. Examples include tags like "Callout Warning", "Driver", and "Five-Star".

Workforce Table

  1. Accessing the Workforce Table: On the left toolbar, click Workforce. This action reveals the workforce table and various filtering choices.

  2. Filtering Options:

    1. Team Members: Filter between active and inactive team members.

    2. Status: Utilize custom statuses, such as Active, Paused, Departure, or Inactive, for filtering.

    3. Tag: Employ custom tags, like Callout Warning, Driver, or Five-Star rating, to refine your search.

    4. Role: Filter based on roles, for example, "Caregivers".

    5. Matching Criteria: Choose between complete or incomplete matching criteria.

    6. Connection to a Specific User: Filter profiles based on their connection to a particular user within the system.

  3. Display Options:

    1. Hide Columns: Choose to hide specific columns for a clearer view.

    2. Sort Columns: Reorder columns based on certain criteria, such as upcoming birthdays.

    3. Search Bar: The top of the page features a search bar for swift profile searches.


Creating a Workforce Profile

  1. Initiate Profile Creation: In the top right corner of the workforce table, click Create.

  2. Select Workforce Status: Choose a custom workforce status for the new profile.

    1. If the individual is already hired and ready for assignments, you can place them directly into an Active status.

  3. Input Essential Information:

    1. Name: Enter the full name of the workforce member.

    2. Mobile Number and Email: These will serve as the individual's login credentials for the system. They will receive a code via text or email to access the app.

    3. Birthday: Enter the date of birth.

    4. Address: Provide the complete residential address.

    5. Primary Language: Select the individual's primary language.

    6. Secondary Languages: Include any number of additional languages spoken.

    7. Recruitment Method and Source: Select the relevant recruitment method and source.

    8. Job Title: Input a specific job title.

    9. Workspace Role: Align this role with the one established in your Role Settings.

    10. Hire and Start Dates: Specify the hire date and start date.

    11. Departments: Departments are optional, but certain payroll systems might require them. Manage department lists through the Manage option.

    12. External ID: Typically an employee ID, this should align with your payroll vendor's requirements.

    13. Employment Type: Choose between W2 or 1099.

    14. Compensation: Specify whether the employee is hourly paid, live-in, both, or receives an annual salary. Remember that the pay rates are adjustable and can be tailored for individual shift assignments.

  4. Finalize Profile Creation:

    1. Invite Message: Review the message that will be sent to the employee upon inviting them to create their Careswitch account.

    2. Share Update: Use this section for internal communication. Notify managers or administrators about the new professional being added.


Profile Management

  1. Personal Information

    1. Accessing Personal Info: Click into a profile and go to the Personal Info tab.

    2. Editing Information: Click Edit to update personal details.

      1. Profile Picture: Add an image to personalize the employee's avatar.

    3. Contact Number Verification: Verify if the listed contact number matches the one in their account settings for login purposes.

  2. Qualifications

    1. Navigating to Qualifications: Scroll down to the Qualifications section at the bottom of the Profile tab.

    2. Adding Qualifications: Click Add and select from the available qualifications.

    3. Custom Qualifications: Choose Custom to enter a qualification not listed.

    4. Qualification Details: Input the issuing organization, issue date, expiration date, upload an image of the document, and set a renewal reminder for notifications.

  3. Matching Criteria

    1. Importance of Matching Criteria: Providing comprehensive information in the Matching Criteria section under the Profile tab is crucial. It enhances the AI matching process by the AI assistant, Looper.

    2. Data Input: Enter custom availability, education and experience details, skills and traits, interests and preferences, and any special accommodations.

  4. Activity Feed

    1. Accessing the Activity Feed: The Activity tab houses the Activity Feed.

    2. Custom Activity Notes: This section is dedicated to leaving custom notes related to the employee.

    3. Timestamp and User Tracking: Each note is automatically timestamped and the user who created it is recorded.

    4. Automated Entries: Certain events, such as profile status changes, trigger automated entries in the activity feed.

  5. Employment Tab

    1. The Employment tab provides access to employment details.

    2. Updating Information: Modify employee information and manage pay rates as needed.

    3. Workspace Default Pay Rate: If the employee is set to the workspace default pay rate, any updates to the workspace default in settings will automatically reflect in their base pay rate.

  6. Schedule and Payroll Insights

    1. Schedule Tab: The Schedule tab displays the employee's schedule.

    2. Shift Actions: Hovering over a shift allows for quick cancellations or edits, mirroring the functionality found in the Shifts table.

    3. Payroll Tab: The Payroll tab offers a detailed weekly view of the employee's activities and earnings.

    4. Shift Details: View scheduled shifts for any given day.

    5. Historical Data: Access past shift information and ensure completion.

    6. Pay Information: Review pay details associated with the shifts.

  7. Connections

    1. Connections Tab: Navigate to the Connections tab to manage employee connections.

    2. Types of Connections: You can connect workforce profiles with other employees, care recipients, and external contacts.

      1. Connecting to employees can indicate a direct report relationship.

      2. Connecting to care recipients might indicate a primary caregiver association.

      3. External contacts typically include emergency contact information.

        1. Managing External Contacts: Link existing external contacts or create new ones directly from this section.

  8. Documents

    1. Documents Tab: Access the Documents tab for managing employee-related documents.

    2. Uploading Documents: Upload any necessary documents associated with the employee's profile.

    3. Access Control: Secure sensitive HR documents by locking access to this section in the profile permissions section of settings.

    4. Document Sharing: Click the three dots on any document to email it directly from this section.

  9. Tags

    1. Tagging Profiles: Add tags under the workforce profile owner's name for easy categorization.

    2. Adding Tags: If no tags are present, click Add a Tag.

    3. Multiple Tags: You can assign multiple tags to a single profile.

  10. Status Changes:

    1. Status Indicator: The current status of the profile is displayed in the top right corner.

    2. Updating Status: Change the profile status as required.

    3. Notification and Communication: When updating the status, include a note to notify the employee about the change. Create an activity post for the Activity tab and optionally notify another internal team member about the status update.

  11. Messaging:

    1. Initiating Communication: Click Message in the top right corner to start a conversation.

    2. Conversation Access: This action will either open an existing conversation with the individual or initiate a new one.

    3. HIPAA Compliance: The messaging feature is HIPAA compliant, ensuring the secure exchange of sensitive information and images.
